How do you manage online sessions without too much admin work?

I’m curious how other therapists and counsellors handle online sessions in practice.

Many professionals I’ve spoken to mention that scheduling, payments and video calls often happen in separate tools, which adds a lot of unnecessary admin and mental load.

How do you currently manage this?
Do you use multiple tools, or have you found a more integrated way that works well?

I’d be interested to hear different approaches and experiences.

Hi!
Early on it was chaos: messages in messengers, hunting for free slots, manual Zoom links, chasing payments — total mental overload with every session.

Now I keep it super simple and integrated as much as possible without relying on fancy therapist-specific apps:

  • One main calendar (shared with my phone) where everything lives
  • Clients book directly by choosing from my pre-set available slots (I send them a short personal link or just a screenshot of free times)
  • Payment happens right after they confirm — I send a quick invoice link, they pay, I see it instantly
  • Video call — always the same permanent room link that never changes (clients save it once)
  • Reminders — I set two automatic ones (24 h + 2 h before) via the calendar itself
  • Notes — quick encrypted text file or paper notebook right after session, nothing complicated

Biggest wins:

  • No new logins or dashboards for clients
  • Almost zero last-minute “where’s the link?” messages
  • Payments collected before session (huge drop in no-shows)
  • My brain stays in one place instead of jumping between five tabs

It’s not glamorous, but admin time dropped to maybe 5–7 minutes per client total. Less tech = less stress.

Great workflow! However, manual invoicing and checking payments still take up mental energy. I might have a better solution where one single system handles everything—booking, payment, and video—automatically. It cuts that 5-7 minutes of admin down to zero so you can stay fully focused on the session Regular Smile
